Disinfection for businesses

Companies need paperwork alongside the treatment — a contract, an invoice and a report.

Paperwork

For companies we provide the full set of documents:

  • Contract — scope, price, timings and the obligations of both parties.
  • Invoice — in line with the contract.
  • Work acceptance report — for each treatment carried out, with the date and the scope.
  • Record of work done — where we work on an ongoing basis.

These documents are what separates a company order from a private one: the treatment has to be demonstrable, not just carried out.

Why the paperwork matters

The question "why do I need a report if the work has been done" is a fair one, and the answer is specific: the report holds what nobody remembers six months later.

1During a regulatory inspectionAn inspection asks for evidence of what was done, not an account of it. A report with the date, the area and the list of zones is exactly that document.
2In hygiene documentationIn food handling and care facilities, treatment is part of internal procedure. A set of reports shows the procedure is being followed regularly, not once.
3In a dispute with a landlordWhen premises are handed back or taken over, the report proves what sanitary condition they were in and what was done.
4In an insurance claimAfter flooding or an incident, the description of what was found and what was done is what goes to the insurer.

In the report we state the property and address, the date of the work, the area treated, the list of zones, the method used and who carried it out. If the inspection found anything significant — moisture readings, affected materials, the cause — we add it in a separate description. It is not a legal expert opinion but a technical description of what was found, and in practice that is usually enough for the conversation.

In most cases a few days pass between the enquiry and the treatment: one for the inspection, one or two for preparing and agreeing the quote. In urgent cases we shorten that chain, but then the scope is confirmed on site.

An inspection at a commercial property differs from one in a flat in that we look not only at the problem but also at how the work will be organised. We establish when the premises are free, which zones must not be touched, how access outside business hours works, whether the property has security and who signs the report. Without that information a quote is a formal number that changes on site.

The second question: what the treatment is for

The purpose shapes the quote as much as the floor area does, so we ask about it early.

1Internal procedureThe treatment is part of the company's own hygiene routine. A regular rhythm with reports matters most.
2A specific eventA one-off response to flooding, a smell or illness among staff. Speed and establishing the cause matter most.
3An external requirementA landlord or a business partner asks for it. Then the document itself is what counts.

The answer determines both the structure of the quote and the price.

How the quote is built

For commercial premises the price is based on floor area, and the rate falls as the area grows: up to 100 m² it is the highest, and above 1000 m² we price individually. But floor area is not the only factor.

  • Method. Surface treatment, fogging and ozone treatment take different amounts of time and different equipment.
  • Access and how full the space is. An empty office and a full warehouse with racking up to the ceiling are not the same job for the same floor area.
  • Working hours. Night and weekend work is planned separately, because it takes up a whole shift.
  • Frequency. For ongoing work we apply a discount compared with individual call-outs.
  • Number of properties. For several properties we prepare a combined quote with a discount for volume.

The quote is broken down by property and by line item rather than being a single figure. That is deliberate: a company usually needs to see what the figure is made up of, and often also the option of postponing or removing part of the work. If the quote does not fit the budget, say so — more often the answer is to change the scope or the frequency rather than the method.

What the company prepares

On site we need two things: access, and one person who can make a decision there and then.

  • Appoint a contact person who is reachable during the work and can answer questions about the zones.
  • Agree how access works — keys, a code, security or someone responsible on site.
  • Identify zones that must not be treated or need particular care — server rooms, archives, laboratories.
  • On food premises, clear the products and free up the work surfaces before the treatment.
  • Tell staff when the premises will be unavailable and when they can be used again.
  • Give us the invoicing details and the person who signs the report.

The more precisely these things are settled beforehand, the less chance the work stalls halfway through while somebody looks for the key to the storeroom.

The premises have to be aired after treatment. After surface treatment a short airing is usually enough; after fogging or ozone treatment the space has to be left longer — we tell you the exact time on site, because it depends on the volume of the space, the method and the ventilation. It is worth building that time into the plan: if the treatment finishes at 5 in the morning but the premises open at 8, the airing has to fit into that window.

What we do not do

We do not carry out deep cleaning, removal of building waste, plumbing and ventilation repairs or restoration of finishes. If the inspection shows the cause of the problem is technical — the ventilation is not working, there is a leak, there is a defect in the structure — we set that out in writing, but we do not fix it ourselves. Treatment without dealing with the cause is an expense that will recur.
